Description

You can create different rates for a single accommodation facility, which will differ in the conditions of their application. For information on how to create a tariff, see the article "How to add a tariff", and for information on how to add prices to tariffs, see the article "How to set prices".

How to apply the tariff when booking

Once created, the rates can be applied when booking rooms at the accommodation facility. For this:

1. Go to the Home Page of the Shelter CLOUD web office.

2. In the Add Booking section, click Create.

   

3. In the New Booking window that opens, enter the booking information. In the Tariff window on the right, select one of the previously created tariffs.

   

4. Save the data. The booking will be available in the Booking Log and on the Checkerboard.

Below we will look at different examples of tariffs and how to apply them when booking.

Hourly rate

Some accommodation facilities, along with daily rates, also offer guests accommodation in rooms with hourly payment.

Example of creating a tariff

In this example, we will create an hourly rate with the following parameters:

• Price type: for 1 hour;

• price per hour: 400 rubles or 10% of the cost of staying in a Standard room;

• guests in the room: no more than 2;

• date from/to: current month;

• Category: Standard;

• duration: minimum — 2 hours, maximum — 8 hours;

• The ordinal number of the hour: let's leave it empty, because in our case, the cost does not depend on the number of hours.;

• days of the week: Friday, Saturday and Sunday.

Thus, we get the following hourly weekend rate::

Applying the hourly rate

Once the hourly rate has been created, it can be applied when making a reservation. For this:

1. Create a new booking in the Home Page section.

2. Select the room category for which the created hourly rate is applicable.

3. Specify the date and time of arrival and departure.

4. In the Rate field, select the previously created hourly rate.

5. Enter the information about the guest and click Book.

The created booking can be viewed and edited in the Booking Log.:

The room rate may not depend on the number of guests. In this case, it is necessary to create a tariff, the price of which is indicated per room.

Example of creating a tariff

In the Tariffs and prices section, we will create a tariff in which the price is indicated per room and does not depend on the number of guests. In the price list, we will set the following parameters for it:

• Price: according to the price list. For our example, let's take 5,000 rubles.;

• price per room;

• Price type: per night;

• Placement: main;

• guests in the room: we do not specify;

• We add the remaining parameters as needed.

The indicated price will be valid when booking a room of the selected category, regardless of the number of guests.

To apply the created tariff:

1. Create a new booking on the Home page.

2. In the Tariff field, select the created tariff.

3. In the Guests line in the Main seat, we will indicate the number of guests who plan to check into the room. Regardless of the specified amount, the price per room will not change.

There are also tariffs, the prices of which vary depending on the number of guests staying in it.

Example of creating a tariff

Often, the cost of a room depends on the number of guests staying in it. Let's look at an example of creating such a daily tariff. We will set the following parameters for it:

• price: 7,000 rubles;

• price per room;

• Price type: per night;

• Guests in the room: 3;

• Category: Standard;

• Power type: without power supply;

• Days of the week: all.

This price will be valid if three guests are staying in the room.

Next, we will create prices for the same tariff, but if 2 people are accommodated in a triple room.:

• price: 6,000 rubles;

• price per room;

• Price type: per night;

• Guests in the room: 2;

• Category: Standard;

• Power type: without power supply;

• Days of the week: all.

We will repeat the same steps for the tariff if 1 person is staying in a triple room.:

• Price: 5,500 rubles;

• price per room;

• Price type: per night;

• guests in the room: 1;

• Category: Standard;

• Power type: without power supply;

• Days of the week: all.

With these settings, for a daily rate with accommodation in a triple room of the Standard category, 3 options will be available in the price list, depending on the number of guests.:

After the tariff has been created, we will apply it at the time of booking.

1. Create a booking with the following parameters:

   • Category: Standard

   • Rate: 3-bed standard

   • days of stay: 1 day

   • guests in the room in the main place: 3.

   The system will automatically substitute the required room rate based on the entered parameters.:

   

2. Next, we will change the number of guests in the main seat to 2. The system will recalculate the price per room.:

   

3. We will create a reservation for only 1 guest at the same rate. The system will apply the appropriate price from the list:

In the Tariffs and Prices section, we will create a rate for two guests staying in a Standard double room.

In the price list, we will create a price with the following parameters:

• price per room;

• Price type: per night;

• Placement: main;

• Guests in the room: 2;

• Category: Standard.

This rate also allows for the accommodation of one guest in an additional place. Therefore, we will create another row in the price list with the following parameters:

• price per person;

• Price type: per night;

• Accommodation: additional;

• Category: Standard.

We will apply the created tariff when booking.

1. If 2 guests stay in the Standard double room for a day in the main seat, the system will calculate the price accordingly.:

   

2. When a guest checks into the same room in an additional seat, the price is automatically recalculated.:

The room rate may depend on the age of the guest who is staying in the extra bed.

Example of creating a tariff

If the cost of an additional seat for an adult differs from the price for a child, you must enter several prices in the Price List for the tariff.

For example, let's take a double room of the Standard category with the possibility of placing in an additional place.

Let's create a price for accommodating two guests in the main seat as described above.

Next, we will create three prices for placement in an additional place.

1. If the extra seat accommodates a child under 3 years old:

   • price: 100 rubles;

   • price per person;

   • Price type: per night;

   • Accommodation: additional;

   • Age: from 0 to 3;

   • specify other parameters, if applicable.

   

2. If the extra seat accommodates a child from 4 to 8 years old:

   • price: 500 rubles;

   • price per person;

   • Price type: per night;

   • Accommodation: additional;

   • Age: from 4 to 8;

   • specify other parameters, if applicable.

   

3. If the extra seat accommodates a child over 9 years old or an adult:

   • price: 900 rubles;

   • price per person;

   • Price type: per night;

   • Accommodation: additional;

   • Age: from 9;

   • specify other parameters, if applicable.

The created tariff is applicable at the time of booking, which we will create on the Home page. This is what the created reservation looks like for 2 guests in the main seat and 1 guest in an additional seat under the age of 3 years.:

Daily rate with different prices on weekdays and weekends

In many hotels, the price per room depends on the day of the week: on weekends, the room rate is higher than on weekdays, while Friday is often equated to weekends.

Example of creating a tariff

To create such a pricing plan:

1. In the Tariffs and prices section, we will create a daily tariff.

2. Let's go to the List of prices for the created tariff.

3. We will create two prices for the tariff:

   • for the first Day of the week in the column, select the days from Monday to Thursday inclusive;

   • for the second Day of the Week column, select the days from Friday to Sunday inclusive. 

4. Save the data.

Applying a tariff with different prices on weekdays and weekends when booking

When making a booking using this tariff for weekdays, the system will automatically substitute the correct price.:

If you change the date of arrival and accommodation to Friday or weekend, the price will be recalculated.:

If you create a reservation for several days, some of which include weekdays and others weekends, the cost will be calculated correctly based on the specified list of prices. In our case, 4 nights are calculated according to the cost of weekdays and 2 nights according to the cost of weekends.:
